Summary: The Executive Secretary plays a vital role in ensuring the smooth and efficient operation of daily office activities within a professional environment in Saudi Arabia. This position provides high-level administrative and executive support to management and cross-functional teams, requiring a proactive, detail-oriented individual with strong organizational and communication skills. The role involves managing correspondence, coordinating meetings, maintaining confidential records, and supporting sales and operational activities, all while leveraging ERP software for accurate data management. The Executive Secretary serves as a key liaison between departments, clients, and leadership, contributing significantly to organizational productivity and operational excellence.
Responsibilities:
- Manage daily office administration and executive support tasks
- Handle emails, phone calls, correspondence, and office documentation
- Schedule meetings, appointments, and maintain accurate calendars
- Coordinate with internal departments to ensure seamless office operations
- Prepare reports, presentations, and administrative documents
- Maintain and organize company records and confidential files
- Support sales coordination and related administrative activities
- Update records and reports using ERP software
- Facilitate effective communication between management, staff, and clients
- Assist with general office management duties as needed
Requirements
Requirements:
- Valid Iqama is mandatory
- Proven experience as an Executive Secretary or in office administration
- Strong English communication skills, both written and spoken
- Required: Knowledge and hands-on experience with ERP software
- Proficient in Microsoft Office applications and general computer skills
- Excellent organizational and multitasking abilities
- Professional demeanor and strong interpersonal communication skills
- Ability to work independently and manage tasks efficiently
