  • Manage administrative operations and coordinate across multiple departments to ensure seamless workflow and timely completion of tasks and deliverables
  • Develop and maintain comprehensive schedules project timelines and organizational calendars to keep all stakeholders informed and aligned
  • Oversee budget tracking expense management and financial documentation to support accurate reporting and cost control
  • Coordinate with internal teams external vendors contractors and regulatory agencies to facilitate effective communication and ensure compliance with organizational standards
  • Prepare organize and maintain detailed project and administrative documentation including contracts correspondence records and reports ensuring proper filing and accessibility
  • Conduct regular monitoring and quality assurance checks to verify that all work meets established standards and organizational requirements
  • Identify potential issues conflicts or bottlenecks and implement proactive solutions to minimize delays and optimize operational efficiency
  • Prepare and present status reports performance metrics and key insights to management and stakeholders highlighting progress risks and recommendations
  • Provide administrative support to senior management and project teams including scheduling correspondence and general office management
  • Mentor and support junior administrative staff fostering professional development and promoting a collaborative inclusive team environment
  • Manage customer and client inquiries with professionalism and courtesy ensuring satisfaction and building positive relationships
  • Customize administrative processes and systems to improve efficiency reduce redundancy and enhance overall organizational performance
  • Ensure confidentiality and discretion when handling sensitive information and maintain professional integrity in all interactions

Qualifications :

**MINIMUM REQUIREMENTS:**

  • Bachelors degree in Business Administration Management or related field OR Associates degree plus 6 years of relevant administrative experience OR High School diploma/GED plus 8 years of relevant administrative experience
  • Minimum 8 years of progressive administrative experience in a professional environment with demonstrated expertise in operations management and cross-functional coordination
  • Advanced proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and general computer literacy
  • Strong written and verbal communication skills in English with the ability to communicate effectively with senior leadership and external stakeholders
  • Extensive experience with administrative coordination scheduling documentation management and process optimization
  • Excellent organizational and time management skills with proven ability to prioritize and manage multiple complex tasks simultaneously
  • Proven ability to work collaboratively with diverse teams departments and stakeholders at all organizational levels
  • Strong attention to detail and unwavering commitment to accuracy in all work

**PREFERRED QUALIFICATIONS:**

  • Advanced experience in project administration contract management or operations coordination
  • Proficiency with administrative software database management systems enterprise resource planning (ERP) tools or document management systems
  • Certification in Administrative Management Project Coordination or related professional credential
  • Extensive experience in a multinational or international organization with exposure to diverse business practices
  • Demonstrated knowledge of relevant regulatory compliance requirements industry standards and best practices
  • Proven track record providing strategic administrative support to senior management executive teams or C-suite professionals
  • Demonstrated ability to train mentor and develop junior and mid-level administrative staff members
  • Extensive experience in a customer-focused environment with strong service orientation and relationship management skills
  • Experience implementing process improvements workflow optimization or administrative system enhancements
  • Bilingual capabilities particularly Arabic language proficiency
