Our company is looking for a Administrative Services Specialist to join our team.

Responsibilities:

  • Perform other related tasks that may be required from time to time;
  • Responsible in managing efficient execution of local and international travel and mobility process and policy;
  • Assist in the development and improvement of Office Administration Process and Policies in collaboration with cross-functional teams;
  • Manage the Office Facilities Administration and coordination with all relevant stakeholders, suppliers and Building Management;
  • COO stakeholder interaction;
  • Facilitate new hire orientation related to office and facilities and other administrative tasks related to on-boarding;
  • Responsible in administrative fixed assets issuance, monitoring and compliance;
  • Ensures appropriate communication, feedback, coaching with team members through regular individual and team meetings;
  • Manage and oversee the corresponding team’s deliveries to ensure quality and compliance following the company’s requirements and objectives;
  • Responsible in monitoring, keeping, updating contractors, suppliers, vendors related to office administration scope;
  • Administer relevant PEZA – PCO administration compliance report.

Requirements:

  • Bachelor’s degree in Business Management, Office Administration and another related field with at least five years solid and relevant experience;
  • Has a result-oriented mindset;
  • Has at least five years in managing team members;
  • Ability to take the initiative and make sound judgement and recommending decisions;
  • Motivated to facilitate and contribute to the company’s growth;
  • Has the ability to handle sensitive and confidential information with integrity;
  • Has experience of working with contractors and suppliers and monitoring of service standards;
  • Has an understanding of compliance requirements and working with service level agreements;
  • Has knowledge and experience in developing and implementing policies, guidelines, office memorandum and other related official communication;
  • Has an interest in and ability to improve processes continuously;
  • Vast knowledge on vendor and office administration, travel and facilities management;
  • Has experience working in a multicultural environment, experience in shared services environment is an advantage.
