One of our prestigious clients in Kingdom of Saudi Arabia is looking to hire a Document Controller , who will be responsible for but not limited to:

Key Accountabilities:

Ensure the smooth functioning of the department's documentation processes.
Develop and manage the engineering document registry for accurate and efficient information retrieval by the engineering team. Timely and accurate location of information is a crucial aspect of this role.
Register and maintain all project deliverables in the Project Engineering Document Register (EDR).
Maintain records of all engineering documents to support bidding and projects.
Organize and oversee the storage and retrieval of all engineering documents.
Receive project documents from the company's project document controllers and distribute them to respective engineering team members.
Issue all engineering documentation, drawings, and correspondence to other business work streams within the company through transmittal.
Keep the engineering team members and corporate document controller updated on new document versions of engineering procedures, guidelines, and standard formats.
Ensure thorough checks of all engineering documents and timely submission before the due date.
Verify that all documents are error-free in filenames, revisions, submissions, etc., before submission to the recipient department/party to prevent confusion.
Allocate document numbers to internally prepared documents and incoming documentation.
Expedite the review and approval of documentation.
Reproduce information in both printed (if required) and electronic formats for communication to the engineering team.
Maintain confidentiality regarding sensitive documents.
Manage engineering technical library files and coordinate with the designated engineer on any new revisions.
Generate engineering manhour reports based on weekly timesheets.
Provide general office administration support as needed/required.
Adhere to all Health, Safety, and Environment (HSE) and housekeeping requirements.

Qualifications:

Diploma in Business Administration or equivalent.
At least 6-11 years of relevant experience.
Additional certification or training in office engineering is preferred.
Proficient in document management through any electronic document management system (EDMS).
Expertise in Microsoft 365 Applications, including Outlook, SharePoint, Word, Excel, PowerPoint, etc.
Strong typing and editing skills.
Excellent data organization skills.
Proficient in tracking and reporting.
Exceptional attention to detail.
Ability to read and interpret documents.
Familiarity with project management principles.
Proficiency in English is mandatory.
Proficiency in Arabic or other languages is desirable.
