Role Overview: The Organizer to the Stars

We are seeking an elite Executive Operations Assistant to serve as the strategic “right hand” and primary filter for a high-velocity Founder overseeing a diverse portfolio of businesses, including a renovation company, a real estate investment firm, a vacation rental portfolio, a high-needs apartment complex, and a new cabinet manufacturing venture.

This is not a “task-taking” role for a passive assistant. We are looking for an Organizer to the Stars—someone who can digest a massive volume of communication, identify what is critical, and translate chaos into actionable priority lists. You will have full access to the Founder’s ecosystem and will be responsible for ensuring that leads are responded to, time is protected, and both business and personal logistics are handled with white-glove precision.

Key Responsibilities

I. Strategic Filtering & Inbox Mastery

  • Manage 5+ distinct email accounts across multiple business entities, identifying urgent matters versus low-priority noise
  • Monitor and respond to incoming leads across various businesses with speed and professionalism
  • Prepare a daily briefing summarizing completed tasks and highlighting the top priority items requiring executive attention
  • Conduct proactive follow-ups with stakeholders, contractors, and partners to ensure projects continue moving forward efficiently

II. Multi-Entity Operational Support

  • Manage high-volume guest communication for vacation rental properties
  • Coordinate administrative operations for multiple business ventures and properties
  • Schedule meetings, organize project documentation, and manage vendor communications
  • Identify repetitive processes and leverage AI or automation tools to improve operational efficiency

III. Executive & Personal Administration

  • Manage a complex, multi-business calendar while protecting focus time and minimizing unnecessary interruptions
  • Handle personal logistics including appointments, travel coordination, and household-related administration
  • Maintain and prioritize an ongoing master task list, ensuring ad hoc requests are captured and executed effectively

Who You Are

Experience & Must-Haves

  • 5+ years of senior executive support experience assisting Founders or C-suite leaders across multiple business units
  • Exceptionally organized with a strong ability to create structure and maintain order in fast-moving environments
  • Outstanding written and verbal English communication skills
  • Highly proficient with Google Workspace, Slack, CRMs, and modern productivity platforms
  • Comfortable using AI tools such as ChatGPT or Claude to improve efficiency and output
