We are a Logistics Management Firm licensed as a freight broker, specializing in helping companies that sell high-value products reduce damage, loss, and retailer chargebacks within their logistics operations. Acting as an extension of our clients’ in-house logistics teams, we redesign and manage logistics systems to improve efficiency, reduce operational costs, and enhance shipment reliability.

Our business primarily works with Less-than-Truckload (LTL) carriers, along with selected Truckload movements using highly vetted drivers. The Opportunity: Finance and Operations Manager

We are seeking a full-time Finance and Operations Manager to oversee core financial operations while also supporting operational workflows within the business. This role requires a highly detail-oriented professional who can manage financial accuracy, vendor relationships, payroll, invoicing, and operational coordination in a fast-paced environment.

The successful candidate will work closely with leadership and play a critical role in ensuring smooth day-to-day business operations.

Key Responsibilities

Finance

• Review every shipment for quote accuracy and dispute incorrect carrier charges
• Prepare weekly shipment billing
• Perform Accounts Payable (AP) and Accounts Receivable (AR)
• Manage weekly payroll and state payroll communications
• Create and distribute weekly invoices
• Manage QuickBooks Online and reconcile transactions
• Communicate with external accountants
• Manage annual licenses, entity renewals, and insurance policies

Operations

• Process new orders by assigning BOL#, PRO#, and carriers based on established criteria
• Create shipping documentation as required
• Support additional operational tasks as directed by leadership

Required Qualifications

• Availability to work 11 AM – 8 PM EST, Monday to Friday
• 5+ years of advanced QuickBooks Online experience, including reconciliations, invoicing, and full-cycle AP/AR
• Strong experience developing, following, and improving financial SOPs
• Strong analytical and auditing skills with the ability to dispute unauthorized charges confidently
• Experience managing U.S. multi-state payroll, including tax compliance and payroll administration (Deel experience advantageous)
• Experience managing annual business renewals, entity registrations, and insurance policies
• Ability to handle sensitive financial and employee information with confidentiality
• 5+ years of detail-oriented operations experience handling high product/order volumes
• 5+ years of vendor management experience
• Strong proficiency with Gmail, Google Docs, and Google Sheets
• Exceptional attention to detail and accuracy
• Strong written and verbal English communication skills
