Position Overview

We are seeking an exceptional Senior HR Operations & Executive Specialist to serve as a strategic partner to our leadership team. This high-visibility role requires deep expertise in BambooHR and modern HR technology suites. You will take full ownership of our HR infrastructure: managing candidate pipelines, screening resumes with sharp discernment, drafting offer letters, maintaining compliance, and providing high-level executive support.

Key Responsibilities

1. HR Systems Management & BambooHR Administration (Core Focus)

• BambooHR Mastery: Own the administration of BambooHR—managing employee records, onboarding workflows, time-off tracking, performance metrics, and custom reporting.

• Tech Stack Optimization: Maintain and optimize integrated tools (ATS platforms like Greenhouse/Lever, DocuSign/PandaDoc, Slack, and Google Workspace) to ensure seamless data flow.

• Compliance & Records: Ensure digital employee files, contractor agreements, tax docs, and compliance records remain confidential and flawlessly organized.

2. Talent Acquisition & Onboarding

• High-Level Resume Screening: Review high-volume candidate submissions, evaluating capability, trajectory, and culture fit beyond surface-level keywords.

• Contract Generation: Draft, customize, and execute error-free offer letters, contractor agreements, and compensation packages.

• Onboarding Workflows: Build and execute structured BambooHR checklists for a seamless, world-class onboarding experience.

3. Executive Support & Operations

• Meeting Moderation & Action Tracking: Prepare meeting agendas, attend strategy calls to capture structured action items, and drive execution.

• Calendar & Priority Management: Triage executive scheduling, manage inbox priorities, and keep leadership focused on core goals.

• Process Documentation: Author and maintain comprehensive SOPs, employee handbooks, and internal policy guides.

Qualifications & Requirements

• BambooHR Expertise (Mandatory): Proven, hands-on administration experience in BambooHR (custom reporting, workflow automations, database management).

• HR Tech Stack Fluency: Proficiency across modern ATS platforms, digital signature tools (DocuSign/PandaDoc), and Google Workspace.

• Proven Track Record: 4+ years in HR operations, recruitment coordination, or high-level executive support roles.

• Language & Communication: Native or near-native written and spoken English with sophisticated executive presence.

• Core Qualities: High cognitive ability and discernment, relentless attention to detail, proactive process ownership, and 100% discretion with sensitive data.
